For function & event venues
A function enquiry came in Thursday. You replied Monday. They booked somewhere else.
Functions are the most profitable thing on your floor and the slowest thing in your inbox. That gap is worth more than it looks.
Who this is for: venues that take function and event bookings, and multi-site groups. Not a single café — if that’s you, almost everything below is overkill and we’d tell you so on the call.
The arithmetic on function enquiries
This is the one worth doing on the back of an envelope before you talk to anyone, us included.
Say you get 25 function enquiries a month. At the moment they’re answered in about two days, and you close one in five. That’s five functions.
Now say the quote goes out the same day, built from your existing package sheet, with one automatic follow-up if it goes quiet. If that moves you to three in ten, you’re running seven or eight functions instead of five.
At an average function value of $2,800, that’s roughly $7,000 a month from the same enquiries and the same kitchen.
We can’t promise that specific lift and anyone who does is guessing. But you already know from experience that the venue which replies first usually gets the booking — this is just that, costed.
Where the rest of the time goes
- Function enquiries sitting in an inbox nobody owns, because everybody was on the floor
- Every function quote rebuilt by hand from the same package sheet
- Deposits, run sheets and dietary requirements chased one email at a time
- Supplier invoices keyed into Xero by whoever has a spare twenty minutes
- Delivery platform payouts reconciled by hand, if at all
The systems you’re already running
Most NZ venues are on PosBoss — built here for New Zealand hospitality and running in well over a thousand venues — or RocketPOS, Lightspeed Restaurant or Epos Now. Rostering on Deputy or Tanda. Uber Eats, DoorDash and Delivereasy bringing orders and taking a cut. Xero underneath.
We’re not a POS reseller and we won’t sell you a new till. The function side of your business mostly happens in email and a spreadsheet, which is exactly why it’s the part worth fixing.
What we’d automate
- Function enquiry in, draft quote out the same day, built from your package templates
- Deposit, run sheet and dietary requirements collected as one sequence instead of six emails
- Supplier invoices read and entered into Xero without anyone keying them
- Delivery platform payouts reconciled against what you actually sold
- Post-function follow-up: the review request, and the offer to book next year
Where AI earns its keep here
A function enquiry arrives at 9pm while you’re on the floor. It gets read, matched to the right package, and a draft quote is sitting ready for you to check and send when you next get to a desk — instead of on Monday.
Supplier invoices get read and entered the same way, which is the least glamorous and most reliable win available.
Nothing reaches a customer until one of your people has looked at it. A function quote with the wrong headcount on it is worse than a slow one.
And the practical bit
We work evenings, which is exactly when you’re flat out. So we’d book you for a Tuesday morning and work around your week rather than ours. Nobody in hospitality needs another supplier who wants a meeting at seven on a Friday.
We also don’t touch table service, kitchen operations or your floor plan. Different trade entirely.
Where to start
Start with a conversation
No charge and no pitch. If we’re not the right people for the problem, we’ll tell you and point you somewhere better.
Free · no pitch
You tell us what’s slow or manual. We ask the questions we’d ask any new client. By the end you’ll know whether we can help, roughly what it would involve, and what it would cost.
We work evenings and weekends, so there are a limited number of slots each week. Trades tend to ring rather than book — info@nullnil.net works just as well.
